Five costs that drop when you book as a group

Group travel costs are decided by purchasing power, not by how hard you search. Use contract prices that individuals cannot touch.

  • Group fares 10 or more on the same itinerary is the threshold. Seats can be held before the name list is final
  • Inside Japan 43 offices. From Hokkaido to Okinawa, we handle local arrangements ourselves
  • Chartered buses Nationwide Boarding times, routes, and drop-off points are entirely yours to design

  • Unpublished group air fares Contract fares that never appear on booking sites or on the airlines’ own websites. For ten or more people booking together, the difference runs to thousands of dollars.
  • Contract hotel rates Accommodation is the largest line in a group budget. Even a few percent compounds across rooms and nights. We lock it in at contract rates with Japan’s major hotels.
  • Chartered buses (nationwide) The quality of a group trip is decided by how you move on the ground. We arrange chartered buses across Japan, with boarding times, routes, and drop-off points entirely yours to design.
  • Group Shinkansen bookings City to city at about 300 km/h. We secure blocks of seats for your group and plan the boarding operation itself.
  • Bilingual Japanese–English guides So a visit does not end at "we saw it." Knowledgeable, experienced guides fluent in both Japanese and English accompany your group.
  • Fee-waiver program Groups that meet the conditions qualify for a handling-fee waiver. Ask about it when you request a quote.
10 Step Planning

Ten steps for the group organizer

Most people organizing a group trip are doing it for the first time. Here is how it actually proceeds, from organizational approval to collecting payment.

  1. 01 Draft a rough plan

    You, the organizer, sketch out destination, timing, and the purpose of the trip. Half a page is plenty.

  2. 02 Receive a draft and a ballpark price

    IACE sends back a plan with approximate pricing. Depending on the contract terms, a holding deposit may be requested.

  3. 03 Propose it to your organization

    The organizer presents dates, destination, and price to the company, school, or organization.

  4. 04 Review and approval

    Your organization runs its risk review and approval. This is the stage where revisions come in.

  5. 05 Recruit participants

    After approval, announce the trip to members. We collect each participant’s deposit as sign-ups come in.

  6. 06 Fix numbers and conditions

    After the sign-up deadline, confirm the final headcount, destination, price, and requests to IACE.

  7. 07 IACE books everything at once

    We book flights, hotels, ground transport, and guides together, and hand you the final quote.

  8. 08 Collect and make the final payment

    The organizer collects from participants and pays IACE. We accept credit cards, cheques, and money orders.

  9. 09 Report back to your organization

    Report the confirmed itinerary and costs to your organization. If you prefer, IACE can report directly.

  10. 10 Documents arrive

    The complete final document set arrives and preparation is done. All that is left is to depart.

Questions we often hear from corporate clients

Can we pay by invoice (on account)?

Yes. After a credit review, we support monthly invoice billing. The first setup takes a few business days from application to approval.

How many people does it take to use group fares?

Ten or more on the same itinerary is the guideline. Group fares let us hold seats before the name list is final, so you can apply even before participants are confirmed.

How far in advance should we get in touch?

For peak seasons (cherry blossoms, autumn foliage, the New Year period), 6–9 months ahead; otherwise 3–4 months. If meeting rooms or charters are involved, the earlier you start, the more options you have.

Can we ask for a quote only?

Of course. We also prepare ballpark quotes for internal approval. There is no charge at this stage.

Will our contact work in Japanese or English?

Both. Your team deals with us in English while we arrange and negotiate in Japanese on the Japan side. Removing that translation burden is exactly our role.
